Therapist Training Academy is the training arm of The Bodyworks Clinic operating in Washington, Tyne and Wear and serving the whole of the North East of England as well as the country. This privacy policy explains how we use any personal information we collect about you.

What information do we hold about you?

We hold personal data for our students to enable us to provide you with efficient training and to be able to keep you safe during your training with us. The information we collect includes your name, address, date of birth, GP information, medical history, contact information and emergency contact information. This information is collected digitally and transferred to secure files. The files are stored in a locked room in enclosed folders. Digitally, your information is protected by passwords at every level and also covered by a third party privacy policy.

We collect this information when you book a course with us. Website usage information is also collected using cookies.

All information is given to us by our students voluntarily and is stored in line with the data protection act 2010.

How will your data be used by us?

Our Lawful Basis

We process your data under a consensual and legitimate interest basis. This means that you are interested in using our services and we need sensitive information from you to allow us to keep you safe while in our care and consent to us processing your data for this purpose. We will also need to use your contact information to communicate with you throughout your training for courtesy calls/emails, checking on your progress and sending support material when required.

Confidentiality Policy

As practitioners, we are bound by a responsibility to keep all of your data confidential unless it allows for you or another person to come to any harm. This is called our duty of care. We cannot share any information about you unless it is with other medical professionals who are involved in your care.

Should we be required to share your information with a medical professional, you will be involved in this process and involved in any communication. To add another level of protection for our clients, we are also members of the ICO (Information Commissioner’s Office) who ensure we hold a high standard of data storage and take complaints if you think we are not handling your data correctly.

Payment Processing

We use an external company for our online payments so no card processing data is stored on our systems. We have a PDQ machine for in-clinic card payments and hold a data compliance certificate to show we protect your data. Your information will not be sold, exchanged or transferred to another company without your consent.

Retention Policy

We hold medical data and we must retain your files/ data for six years by law. For children, we must keep files/ data until they are twenty-one years old. This data is stored confidentially and destroyed after this time has elapsed.

Marketing

From time to time, we may send correspondence via email or post with news around training courses that we think may affect you with future care. We may also send occasional special offers that you qualify for. You can decide if you would like to opt in for this type of correspondence on our website or in clinic on your consultation form. You have the right to change your marketing preferences at any time and you can also unsubscribe yourself from emails sent to you.

Access to your information

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us at the following address. We may ask a small charge for this service.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.

We use a booking system called PowerDiary to enable us to book and manage appointments for our clinic and we use Stripe for online bookings for both clinic services and for Therapist Training Academy courses.
